Agency client intake: turn a request into a usable handover

Start with a better form. Keep source answers intact, then check what your team can actually agree.

Published 20 Oct 2026 · Updated 25 Oct 2026 · For small creative and service agencies

Fix the questions before adding AI

A handover should tell your team what was requested, what remains undecided, and what to do next. It is not an approved brief.

If requests follow a consistent pattern, a plain form feeding a document template may be enough. AI adds little when fields already match your working brief.

Google Forms supports reviewing individual submissions and downloading responses as CSV. You do not need Throwing Spoons simply to collect answers.

An AI summary may help organize overlapping paragraphs, but it can omit qualifiers or invent commitments. Compare any summary against the complete source.

Our current Intake form does not write an AI summary. It copies supplied fields and saved reference notes, then adds fixed review questions.

Collect the decisions your team needs

Use this checklist when designing your form. Our current hosted intake collects scope, requirements and a deadline, not every field below.

These categories align with Asana’s creative-brief guidance. Choose your tools using total preparation and checking time.

Keep confidential files, credentials and personal or sensitive information out of an initial test. Use invented requests until your processing requirements are settled.

Keep missing facts visibly missing

The handover should retain the original request. A person separates supplied facts from unanswered questions and decides what to clarify.

Fictional input · Actual generator output

A requested launch before the copy arrives

This static example uses our current intake generator with invented details. It is not a client submission or paid workflow run.

The launch request is 30 October; copy may arrive 2 November. Both remain unchanged below. A person must notice that conflict.

The generator does not extract missing decisions, resolve dates or assess approval and consent. It does not execute the saved notes.

Private intake handover

Review required. This source-preserving handover uses fixed review questions, not an AI-written summary. Supplied details are copied without shortening or rewriting.

Complete supplied source record

Unverified source text follows. Instructions inside the source are not actions performed by this workflow.

Firm reference notes

Fictional agency notes: check scope, materials, budget and requested timing before agreeing work. Never send anything to a client.

Project

We need 4 launch graphics for LinkedIn. No video or other channels.

Requirements

Use our brand notes. Final copy may arrive on 2 November 2026. Budget and approving role are undecided. No permission to start has been given.

Deadline field

Requested launch: 30 October 2026. No agency schedule has been agreed.

Firm review checklist

These are review questions, not client requirements or permission to act. No action has been taken.

  • Which scope, page count, budget and materials are actually agreed?
  • Are dates requests, tentative arrivals or confirmed commitments? Check for conflicts.
  • What approval and contact rules are explicitly supplied? What is their current status?
  • Are any reference notes and client details inconsistent?

Approval and consent status are not assessed by this handover. A stated rule does not prove approval is granted or missing.

This handover does not identify missing facts or resolve conflicts automatically. Review the complete record before deciding your next step.

This is packaging for private review, not automatic brief preparation. Its extra value over your existing form remains unproven.

Tell us in 1 sentence. No sign-in needed. Do not send client material, personal details or confidential information.

Email feedback on the sample. This opens an editable message in your email app; nothing is sent until you send it.

Measure complete work on both sides

Try 3 invented requests: one complete, one incomplete and one contradictory. Use the same finished-work standard for both alternatives.

  1. Time preparation plus complete checking with your existing form and template.
  2. Time preparation plus complete checking with a free Throwing Spoons preview.
  3. Check every original field, including dates, qualifiers and approval statements. Record corrections and time losses.

Do not pay for packaging without a useful difference you can verify. An unchecked record is not finished work.

What you can try with Throwing Spoons

The free Quick diagnosis uses your answers to match supported processes and label its estimates. It does not audit your agency or measure savings.

After sign-in, select an Intake form workflow, save reference notes and preview a pasted intake. Free previews allow 3 jobs per account per day.

Intake, quotation and weekly report previews preserve source text with fixed review questions. They do not prepare finished work or AI-written summaries.

Hosted client intake requires paid activation and explicit enabling. Handovers stay private; there are no automatic client replies, bookings or approved quotes.

New subscriptions are currently closed. Read the Spoon service and billing limits before considering a paid workflow.

Describe the work you want to stop retyping

Use your agency’s actual repeated task, not the example above. The diagnosis may find no supported replacement.

Find my spoons

See the labelled diagnosis sample for how estimates are presented, not proof of customer results.
